When students repeat an eligible course and grade replacement has been automatically applied (after grades have posted), degree audits indicate which prior attempts are now excluded from the student's GPA.

Grade Replacement Complete

Once grades have posted for the student's current attempt and the Campus Solutions repeat-checking process has run:

  • An >E symbol is added to the most recent prior attempt, which is no longer counted in the student's GPA. The degree audit legend defines >E as "Grade replacement, not in GPA."

When students repeat an eligible course and grade replacement has been automatically applied (after grades have posted), degree audits indicate which prior attempts are now excluded from the student's GPA.

To retroactively request grade replacement for this class, please email us by 4:30 p.m. on Monday, June 29. We’ll re-review your original request based on this eligibility change and email you a new approval or denial decision. You cannot cancel this request once submitted.

If we approve your retroactive grade replacement request:

  • The grade you earned in your most recent prior attempt will still appear on your transcript, but it will be replaced by the grade you earned in [semester] in your cumulative GPA and credit totals (effective July 2).
  • The credit hours for this class will be deducted from your total grade replacement credit limit.

We recently learned of a system issue affecting a small number of students’ pass/fail selections. The pass/fail option was not consistently passed from CU Boulder Class Search to student records at the point of enrollment for Summer 2019, Fall 2019 and Spring 2020. This issue has since been resolved and will not impact pass/fail selections for future semester enrollments.

We recently contacted students about this issue and how to resolve (see Registrar's E-memo section below). To manage this process and potential volume of requests, we’re implementing the following steps:

  1. Extend students' self-service functionality through the last day to drop a class deadline for Spring 2020. This is prorated for special session classes, some of which are no longer eligible, and applies to Main Campus and Continuing Education classes.

  2. Provide colleges/schools with a report of students who changed any class to pass/fail during this two week window in order to review or communicate with students about pass/fail policies. Look for an update in an upcoming edition of the Registrar Network once this is available.

  3. Accept special action forms until the end of the semester for students who selected pass/fail, but who need to be changed back to letter grade for degree applicability reasons.

If you receive any requests for Summer or Fall 2019 courses, we ask that you carefully consider each request and submit a change of record form. We ask that record changes not be submitted for students who have already graduated.

We apologize for any confusion or frustration this error may have caused students. Please contact your dean’s office or Kristi Wold-McCormick if you have questions.

On Friday, Dec. 27, we ran the repeat-checking process in Campus Solutions to appropriately code students who were approved for grade replacement in Fall 2019.

    At this time, approximately a dozen eligible students are still awaiting grades for their current attempt. Until the grades post, their classes will remain coded with the BOPT repeat code, which indicates they were approved for grade replacement. We'll run the repeat-checking process daily and update the repeat code once the grades are posted.

    What They Are

    After grades post for the student's current attempt:

    • The current attempt is coded with the UGRI/GRRI repeat code.
    • The most recent prior attempt is coded with the UGRE/GRRE repeat code.

    The UGRE/GRRE repeat code is what removes the student's most recent prior attempt from their GPA calculation and posts this message on their transcript for that class: "Grade Replacement (Excluded from GPA)."

    How to View Them

    Most advisors have access to view repeat codes through the student's enrollment information in Campus Solutions (Records & Enrollment > Enroll Students > Enrollment > Student Enrollment 1 tab; see screenshot below). We're currently exploring additional ways to make this information available to advisors and others, including developing grade replacement reports.

    If grades have posted for a student's approved grade replacement class, their current and most recent prior attempts are now indicated in Campus Solutions by UGRI/GRRI and UGRE/GRRE repeat codes, respectively.

    The Fall 2019 deadline to request grade replacement for 16-week classes was Sept. 13, 2019 (see also the Fall 2019 special session calendar). We've had several students contact our office to ask for exceptions; however, in the interest of equitably enforcing this policy for all students, we do not grant exceptions to posted deadlines.

    For any students who are repeating a course but missed the grade replacement deadline this semester, we could use your help referring them to their college, school or program's repeat policies instead of requesting an exception to the grade replacement deadline.

    We've communicated about the grade replacement policy and related deadlines to faculty, staff and students through various channels, including:

    • In-person and online town halls for advisors (last spring and summer)
    • Announcements and reminders in our Registrar Network newsletter (last spring and this fall)
    • Outreach through the advisor list (last spring and this fall)
    • Announcements on MyCUInfo's student tab (March–Sept. 2019)
    • Announcements in the student edition of CU Boulder Today (last spring and early fall); follow-up reminders as the Sept. 13 deadline approached (early fall)
    • Inclusion in the academic calendar
