"Grade Replacement Policy Update" Student Announcement

Grade replacement enables undergraduate and graduate students to retake a course in which they earned a low grade* in an attempt to improve their cumulative GPAs.

Beginning with the Spring 2022 semester, if a student is retaking an eligible course in which they’ve earned a low grade, grade replacement will be applied automatically. Students no longer need to submit the grade replacement request form by the deadline.

If a student is retaking a course but does not want grade replacement applied, they may opt out by emailing registrar@colorado.edu by the last day of classes of the semester.

Other changes:

There are no longer credit limits on grade replacement.
Nondegree students enrolled in credit-bearing CU Boulder courses are now also eligible for grade replacement. (Law students are still not eligible.)

*Eligible grades include C- and below for undergraduate and nondegree students; C+ and below for graduate and graduate nondegree students. Grades earned due to academic dishonesty aren't eligible for grade replacement.

As discussed earlier this semester, in order to equitably implement the temporary grade replacement policy adjustment announced in February, the Office of the Registrar has received approval to retroactively apply grade replacement through Summer 2021 for students retaking eligible courses.

This processing will be completed by the following dates:

May 14 for eligible courses retaken in Summer 2020–Spring 2021
Aug. 12 for eligible courses retaken in Summer 2021

Please note that this policy adjustment does not apply to courses for which the most recent prior attempt occurred before Spring 2020. In other words, if a student is currently retaking a course they attempted in Fall 2019 or earlier, we will not retroactively apply grade replacement on their behalf.

Also, if you're contacted by a student regarding their eligibility under the grade replacement policy adjustment, feel free to use some or all of the language below in your response.

Language for students

If you're retaking a class this semester but missed the deadline to apply for grade replacement, the Office of the Registrar may automatically apply grade replacement on your behalf if: 1) you and the course meet all other grade replacement eligibility requirements, and 2) your most recent prior attempt of the course occurred as early as Spring 2020 and as late as Spring 2021.

This process is related to a temporary grade replacement policy adjustment that allows students who earned a low grade in a course taken between Spring 2020 and Summer 2021 to retake that course for grade replacement without it counting against their total grade replacement credit limit.

If grade replacement is automatically applied on your behalf, you'll receive a confirmation email from the Office of the Registrar on or around the following dates:

May 14 for eligible courses retaken in Summer 2020–Spring 2021
Aug. 12 for eligible courses retaken in Summer 2021

The Office of the Registrar cannot check individual students' eligibility ahead of this automated process.

Please note: This process is limited to courses that fall under the temporary grade replacement policy adjustment. If your most recent prior attempt occurred before the Spring 2020 semester, the Office of the Registrar cannot retroactively apply grade replacement to your retaken class.

As a reminder, we will be retroactively applying grade replacement for students retaking eligible courses under the temporary grade replacement policy adjustment. For students who retook an eligible course in Summer 2020, Fall 2020 or Spring 2021, we'll complete this processing by May 14.

Grade Replacement Request Forms Still Needed

Please continue to encourage students to apply for grade replacement by the posted deadline in Spring and Summer 2021, regardless of whether they're retaking a class they previously attempted between Spring 2020 and Summer 2021. This is important for several reasons:

Students who are retaking an eligible course under the adjusted policy may not meet one or more of the other grade replacement eligibility requirements.
Given the limited scope of this retroactive processing, students need to stay in the habit of applying for grade replacement.
Retroactively applying grade replacement in this situation is intended as a courtesy for students who don't realize they're now eligible under the temporary policy adjustment.

In order to equitably implement the temporary grade replacement policy adjustment (see original announcement below), the Office of the Registrar has received approval to retroactively approve grade replacement for students retaking eligible courses through Summer 2021, regardless of whether the student submitted a grade replacement request form.

Students should continue to apply for grade replacement by the posted deadline in Spring and Summer 2021, rather than assume that grade replacement will be applied on their behalf. See the gray box at right for details.

This processing will occur on:

May 14, 2021, for eligible courses retaken in Summer 2020, Fall 2020 & Spring 2021
Aug. 12, 2021, for eligible courses retaken in Summer 2021

Once each batch is processed, we'll email the affected students to inform them of the change and provide an opt-out option. For reference, see our e-memo to students whose grade replacement request was previously denied.

Please note:

Students who retake an eligible course after Summer 2021 must apply for grade replacement; however, the course will not count against their total grade replacement credit limit.
Students who retake a course that does not fall under the policy adjustment (i.e., that was taken before Spring 2020 or after Summer 2021) must apply for grade replacement, and the course will count against their total grade replacement credit limit.

As the provost announced last Monday, a temporary policy adjustment is now in effect allowing students who earned a low grade in a course taken between Spring 2020 and Summer 2021 to retake that course for grade replacement without it counting against their total grade replacement credit limit. All other grade replacement eligibility requirements still apply.

This policy adjustment applies not only to students who have yet to retake a course they initially attempted during this period, but also to students who've already done so and were approved for grade replacement. [Revised for clarity, 3/3/2021]

In the coming days, our office will retroactively approve 38 previously denied grade replacement requests that are now eligible under the adjusted policy (see our student e-memo). Students whose degrees have already been conferred are not eligible for retroactive changes to their education record.

We are also working to identify students who attempted and repeated an applicable course during this period and did not request grade replacement, and will follow up with those students by the end of the semester.

As previously announced, the deadline for students to change a student-option class from letter grade to pass/fail (or vice versa) is now the tenth Friday of the semester. For Fall 2020, that date is Friday, Oct. 30 (prorated for special sessions).

The deadline to change a class to no credit remains the third Friday of the semester; however, students must now submit an online form to request the change. For Fall 2020, that deadline was Friday, Sept. 11 (prorated for special sessions).

To give instructors time to communicate attendance expectations to waitlisted students prior to the first day of classes,* in-person and hybrid in-person class waitlists will stop accepting new students at 5 p.m. on Monday, Aug. 17. As seats open up in these classes, students will be enrolled off the waitlist, but no new students can join the waitlist.

Note: After this date, it also won't be possible to manually add students to in-person or hybrid in-person class waitlists.

For classes without in-person components, waitlists will remain open through the waitlist deadline (Sept. 2 for 16-week classes; prorated for special session classes). Students who remain on a waitlist through the waitlist cancellation date may be eligible for course reservation.

*Look for additional guidance from the Academic Instruction Implementation Team about communicating in-person meeting schedules to enrolled and waitlisted students.

CU Boulder is providing a grace period for Spring 2020 classes with a pass/fail deadline of April 30 or May 1. Undergraduate and graduate students now have until 11:59 p.m. on Monday, May 11, to submit a pass/fail request form to change their grade mode from letter grade to pass/fail or vice versa.

Previously extended late drop and grade replacement request deadlines remain unaffected. On May 12, we'll notify students who changed their grade replacement class to pass/fail that they're no longer eligible for grade replacement.

We're asking instructors for their assistance by taking the following actions:

To limit confusion for students, if you have not already posted your grade rosters, please approve and save them by the grading deadline, but do not post them. (Posting grade rosters before the extended grace period pass/fail requests have been processed by the Office of the Registrar may lead to confusion and or additional inquiries from students regarding the status of their request.) On May 12 we will automatically post all completed grade rosters with a saved status of "Approved." After posting rosters, we will also convert passing grades for students who selected pass/fail to a P+ or P grade.

Clarification: If you have already posted your grades, you don't need to take any action. Your students can still request pass/fail, and your posted grades will automatically convert to the student's selected grade mode starting May 12.

Remind your students that final grades won't post in Buff Portal until May 12, and may temporarily post under the old grading basis before the conversion is processed. Transcripts with final grades will be available May 14.

Help your students make an informed decision by securely sharing how they are doing in your class so far (i.e., ensure your in-progress grades in Canvas are up to date).

We appreciate your patience and flexibility as we make these process adjustments in support of student success during these uncertain times.

The Office of the Registrar has received approval to remove the $50 fee associated with both the graduate leave of absence application and the undergraduate optional leave of absence benefits application.

We'll be removing fee references from our website in the coming days, and will continue to explore options to improve the withdrawal and leave of absence experiences.

New summer admits have traditionally been prohibited from taking Maymester and Augmester intensive classes. However, following a policy review, these restrictions have now been lifted.

Given the condensed nature of these classes, we recommend that new students work with their advisors to determine whether taking a summer intensive is the best course of action for them.
