Flexible Work Arrangements FAQs

Yes, fully remote work is allowed dependent on business needs.

Work that requires high levels of collaboration in-person for projects or supervising in-person office staff are examples where fully remote may not be supported. Each request and situation is discussed between employee and supervisor to determine ways to balance business needs with employee needs for remote arrangements.

Managers are eligible for听remote work听arrangements as outlined in OCG鈥檚 Flexible Work Arrangements, subject to the business needs of the office and the training needs of听staff.听Manager schedules and team management are expected to support the flexible work arrangements of their staff. Managers are expected to attend in-person Senior Leadership meetings and other strategic collaboration meetings as determined by the Director. Managers are encouraged to attend OCG social events.

Fully remote staff will not have a designated office space. There will be temporary workspaces available when fully remote staff come to the office.

Hybrid remote staff are allocated workspaces based on the number of days they are regularly in the office. Hybrid remote staff may have shared space with other staff or temporary space.

A hybrid schedule is one where there is a weekly commitment to coming into the office at least one day per week. If you are interested in coming to the office once a month, that would be considered a fully remote arrangement. On those occasions where you come into the office, there may be temporary space to utilize.

Contact Jessica Trowbridge for the location of a听temporary work space for the day you will be in the office.

Managers are allocated an office unless they are fully remote. Fully remote managers will have access to office space for those times they are in the office.

OCG鈥檚 standard work hours are 8am-5pm, which is important for proposal submission deadlines and expectations with campus. Individual staff hours may vary with supervisor approval, however, each team is expected to have sufficient coverage during the standard work hours. Routine schedules outside core hours should be included in the Flexible Work Arrangement Agreement Form.

Flexible work arrangements should be reviewed at minimum annually during the performance planning period. Changes are allowed depending on OCG鈥檚 business needs or employee鈥檚 needs and should be documented through an updated Flexible Work Arrangement Agreement Form. Both staff members and supervisors can withdraw any flexible work arrangement. Depending on the change, coordination of space and equipment may be required and cause a lag between the change request and the ability to implement the change.

An alternate work schedule references changes to an employee鈥檚 regular hours that would be outside of CU鈥檚 standard hours. For example, a regular work schedule that is 7am-4pm. OCG removed compressed work schedules from the Flexible Arrangements program in 2019. We are unable to offer a compressed work schedule to certain positions, and therefore, unable to meet the requirement that flexible arrangements can be consistently offered to all OCG employees.

There are both healthcare and tax implications for working full-time from an out-of-state location and those issues vary from state-to-state. A benefits advisor is in the best position to advise employees on areas that need to be considered when an employee is looking to work from another state and is a requirement before a flexible work arrangement is approved.

No. Short-term work out-of-state does not require a meeting with a benefits advisor so long as the employee鈥檚 permanent residence is in Colorado.

Acknowledgement of OCG鈥檚 flexible work arrangement options will be determined during the review of each job before posting and included when appropriate for the position.

No. Salaries are not adjusted based on the location an employee works.

Employees working fully remote out-of-state will have a base level of supplies provided. The final list of those supplies is still being determined. All other staff, regardless of schedules, will need to pick up supplies in the office.

Yes. Everyone in OCG will have a phone number regardless of location.

Spaces that are designated as temporary or "hoteling" are spaces that are not permanently assigned to an individual. These spaces will be made available for听staff members that are primarily remote or fully remote to use when they are in the office. Both terms are referencing space sharing practices. Until a full understanding of individual choices for work schedules is understood, it is unknown how many spaces will be available for this kind of space sharing. As those details become clear a procedure for reserving those spaces will be documented and shared with OCG.听

In some instances staff may have a designated work space within a听shared office听with multiple designated work stations. These types of shared offices are not considered temporary or "hoteling" because the work spaces are听assigned to a particular employee.
